How to Request Custom Packaging Samples? Can Sampling Fee Be Deducted from Bulk Order Payment?

For procurement professionals and brand owners sourcing custom packaging from overseas, the sampling stage is the critical bridge between design concept and mass production reality. A well-managed sample process validates structural integrity, confirms color accuracy, and ensures finishing quality before significant capital is committed to bulk production. Yet inconsistent sampling policies — hidden fees, unclear revision limits, and ambiguous refund conditions — are among the most common frustrations buyers face when evaluating new packaging suppliers.

If you are navigating the sample request process with a Chinese packaging manufacturer and need clarity on costs, timelines, refund policies, and logistics, this guide provides the detailed, transparent answers that most suppliers leave vague.

Complete Sample Application Process: From Inquiry to Sample Delivery

The sampling process at Packshion follows a structured, transparent workflow designed to align expectations and eliminate surprises at every stage. Here is the step-by-step journey from initial inquiry to holding a physical sample in your hands:

Step 1: Initial Inquiry and Requirement Gathering

The process begins when you reach out with your packaging requirements. To provide an accurate sample quotation and timeline, we need the following information: product type and preferred box style (rigid box, folding carton, corrugated mailer, or paper bag), approximate dimensions, material preferences (white cardboard, black cardboard, kraft paper, coated paper, or specialty paper), printing requirements (CMYK or Pantone spot colors), desired finishing techniques (matte/gloss lamination, foil stamping, spot UV, embossing, debossing), and your artwork files if available. If you do not have finalized artwork, our design team can work from sketches, reference images, or a written design brief.

Step 2: Artwork and Dieline Confirmation

Once we understand your requirements, our pre-press team prepares a digital dieline — the technical blueprint showing cut lines, fold lines, and glue tab positions — for your review and approval. If you are supplying artwork, we check file formats, color profiles, bleed margins, and font embedding to ensure print-readiness. If design adjustments are needed, our in-house design team provides complimentary basic design support for clients placing production orders. No physical sample is produced until the dieline and artwork are formally approved, preventing wasted time and materials on incorrect specifications.

Step 3: Sample Quotation and Fee Confirmation

With the dieline and artwork confirmed, we provide a transparent sample quotation detailing: the sample type (blank, standard printed, or special craft), the applicable sample fee (if any), the estimated production timeline (3–7 working days), and the refund conditions that apply when you proceed to bulk order. You review, approve, and arrange payment for any applicable sample fees before production begins. There are no hidden charges — the number you see on the quotation is the number you pay.

Step 4: Sample Production

Our sample workshop produces your physical sample to the exact specifications confirmed in the dieline and artwork. Blank samples are produced using the specified material and structural design. Printed samples go through our Heidelberg offset presses with color calibration to your specified CMYK values or Pantone references. Special craft samples receive the requested finishing treatments — foil stamping, embossing, spot UV, etc. — each applied in the correct sequence to match mass production conditions. A quality check verifies dimensional accuracy, structural integrity, and finishing quality before the sample is cleared for dispatch.

Step 5: Sample Delivery and Feedback

The completed sample is carefully packed and dispatched to you via international courier (DHL, FedEx, UPS, or TNT). You receive a tracking number and estimated delivery date. Upon receiving the sample, you evaluate it against your requirements. If revisions are needed, simply reach out to your dedicated account manager — we will assess your specific situation and provide a tailored solution. Minor adjustments within the original design scope are typically accommodated at no additional cost. For more extensive changes, your account manager will discuss the best path forward and confirm any implications before proceeding. Once you are satisfied, you sign off on the sample, and it becomes the approved production reference standard.

Sample Fee Structure: Understanding the Cost Differences

Not all samples carry the same cost. The fee depends on the complexity of production involved. Here is a clear breakdown of our sample fee policy across three categories:

Blank Samples (No Printing): Free of Charge

Blank samples are produced using your selected material and structural design, with no printing, no coatings, and no decorative finishing. These samples serve a specific purpose: allowing you to evaluate material quality, board thickness and stiffness, structural integrity, dimensional accuracy, and assembly and closure mechanisms. Because blank samples require only material cutting and basic assembly with no printing plate production, ink mixing, or finishing tooling, we provide them free of charge. Blank samples are typically completed within 3 working days.

Standard Full-Color Printed Samples: Free for Qualified Projects

Standard printed samples include CMYK or Pantone color printing with one basic finishing option — such as matte or gloss lamination. For clients who have confirmed their intention to proceed with a production order, we provide these samples free of charge as part of our commitment to making the sampling stage cost-neutral for serious partnerships. For inquiries where the production order is not yet confirmed, a modest sample fee applies. Our project team will clarify which category your inquiry falls into during the quotation stage. Standard printed samples are typically completed within 5 working days.

Special Craft Samples: Quoted Based on Specific Requirements

Samples requiring premium finishing techniques — gold or silver foil stamping, spot UV, embossing, debossing, textured coatings, or any combination of multiple special processes — involve additional tooling fabrication, material preparation, and manual craftsmanship beyond standard sampling. These samples are quoted individually based on the specific craft requirements of your design. The quotation includes a breakdown of tooling costs (foil stamping die, embossing plate, etc.) and production costs. This category also includes samples requiring custom mold fabrication for uniquely shaped boxes, samples with multi-process combinations (e.g., matte lamination + foil stamping + spot UV on a single box), and samples using specialty materials that require separate procurement. Special craft samples are typically completed within 7 working days, reflecting the additional time required for tooling fabrication and sequential finishing processes.

Sampling Fee Refund Policy: How to Get Your Full Fee Back

Our sampling fee policy is designed around a simple principle: the sampling investment should be cost-neutral for clients who proceed to production. Here is how the refund structure works:

Full Refund: 100% of Sampling Fee Deducted from Bulk Order

When you confirm a production order that meets our standard minimum order quantity (generally 500 units for most box types), 100% of your paid sampling fees are fully deductible from the bulk order payment. This means the sampling cost is essentially zero for committed production partnerships. For example, if you paid $300 in sampling fees for a special craft sample and subsequently place a bulk order of 500 units, $300 is deducted from your final production invoice. The sample effectively becomes free.

Pro-Rated Refund for Orders Below Standard MOQ

For production orders that fall below our standard MOQ, we offer a pro-rated sampling fee refund based on the order quantity. The refund percentage is calculated proportionally, ensuring that even smaller orders receive partial credit for their sampling investment. Your account manager will provide the specific pro-rated calculation applicable to your order during the quotation stage.

Why We Charge for Special Craft Samples Upfront

The upfront charge for special craft samples covers real, non-recoverable costs: custom mold fabrication (foil stamping dies, embossing plates), specialty material procurement, and dedicated craftsman time. This fee ensures that sample requests represent genuine production intent and allows us to allocate our sample workshop resources fairly across all clients. The full refund upon bulk order placement ensures that committed partners bear no net sampling cost.

Sample Shipping and Revision Policies

Beyond the sample itself, shipping logistics and revision processes are critical components of the sampling stage. Here is how we handle both:

Sample Courier Costs

Sample courier costs are typically borne by the buyer, as sample shipments are small, low-value consignments where the international courier charge often exceeds the sample production cost. We provide estimated courier charges based on sample weight and destination before dispatch. You are welcome to use your own courier account (DHL, FedEx, UPS, or TNT) and provide us with your account number — we will ship on your account with no additional handling fees. Alternatively, we can arrange shipping through our courier partners and add the actual courier cost to your sample invoice. Either way, the cost is transparent, and you see the actual courier charges, not marked-up rates.

Pre-Production Sample Revisions

We understand that the first sample rarely captures every nuance of your vision. If your pre-production sample needs adjustments, simply contact your dedicated account manager with your feedback. We will evaluate the specific modification requirements and provide a fair, transparent solution. In most cases, adjustments that fall within the original design scope can be accommodated free of charge as part of our commitment to getting your packaging right. Should the changes involve a significant redesign, new tooling, or additional processes beyond the original specification, your account manager will discuss the options with you transparently and agree on the best approach before any work begins. Our goal is always the same — to refine the sample until it perfectly matches your expectations, without unwelcome surprises along the way.

Sample to Mass Production: Maintaining Consistency

Once your sample is approved, it becomes the official production reference standard. We archive the approved sample, create detailed production specification sheets documenting every parameter (material grade, board thickness, color values, finishing specifications, and assembly methods), and use the approved sample as the benchmark for quality control during mass production. Our QC team compares production output against the approved reference sample at every inspection stage, ensuring that what you approved is exactly what you receive — not a "close enough" approximation that diverged during bulk manufacturing.
